Commercial Mortgage Document Checklist
A well-organized file can make the first financing review more efficient. Not every lender requires the same documents, but the following categories provide a practical starting point.
Property information
Prepare the municipal address, property type, unit count or square footage, occupancy, current use, property taxes, insurance, major capital improvements and any known environmental or physical issues.
Income and operating information
For income-producing assets, gather the current rent roll, historical operating statements, trailing twelve-month results where available, lease summaries and explanations for unusual income or expenses.
Transaction and financing information
Include the purchase agreement for an acquisition, current mortgage statement for a refinance, requested loan amount, financing purpose, target closing date, existing lender information and any maturity or payout deadlines.
Borrower and ownership information
Lenders commonly request information about the borrowing entity, beneficial owners, guarantors, real estate experience, net worth, liquidity and source of equity. Corporate organizational documents and identification may be required later in the process.
Additional construction or development documents
Construction files typically require a detailed project budget, sources and uses, plans, approvals, development schedule, consultant information, contractor details, equity invested, presales or leasing information where relevant, and projected stabilized income.
Before uploading sensitive documents
Only provide documents through a secure channel requested by the financing professional. Avoid emailing highly sensitive personal information unless secure transmission has been confirmed.
